At Knoemi, we believe privacy and platform improvement can coexist. Your personal data stays yours. Anonymized insights help everyone. Here's exactly how we handle your information.
What We Collect
When you use Knoemi, we collect:
- Account Information: Email address, name, password (hashed)
- Career Data: Resumes, work experience, skills, projects, achievements
- Usage Data: How you interact with the platform (features used, feedback provided)
- Job Interactions: Jobs you view, save, or apply to
How We Use Your Personal Data
Your identifiable information (name, email, specific resume content) is used exclusively to:
- Provide Knoemi services to you (skill extraction, job matching, resume generation)
- Send you relevant job opportunities and platform updates
- Manage your account and subscription
- Respond to your support requests
We do NOT sell your personal data to third parties. Ever.
How We Use Aggregate, Anonymized Data
To build a better platform for everyone, we use anonymized patterns from our user community. This helps us understand what skills are trending, which evidence types strengthen applications, and how to improve matching accuracy.
What we analyze (after removing all PII):
- Skill clusters: Which skills commonly appear together in successful careers
- Evidence patterns: What types of achievements resonate with employers
- Matching quality: How user feedback improves job recommendation algorithms
- Platform usage: Which features are most valuable to optimize development
Example: If 500 users with "Python" skills also frequently list "Data Analysis," we can suggest that combination to new users. We never know WHO those 500 users are in this analysis.
PII Protection & De-identification
Before any data is used for platform improvement or AI training, it passes through multiple protection layers:
- PII Redaction: Microsoft Presidio automatically strips names, emails, phone numbers, addresses, and other identifiers
- Aggregation: Data is combined across many users (minimum thresholds apply)
- De-linking: Patterns are studied separately from user accounts
- Access Controls: Only authorized systems can access anonymized data pools
Your actual resume content, complete with your name and contact details, remains accessible only to you and the job opportunities you explicitly choose to engage with.
Data Storage & Security
Your data is stored in Google Cloud SQL with industry-standard protections:
- Encryption at rest (AES-256)
- Encryption in transit (TLS 1.3)
- Regular automated backups
- Role-based access controls
- Security monitoring and incident response
Data Retention
We retain your data according to these policies:
- Active Accounts: Retained as long as your account is active
- Inactive Accounts: After 2 years of inactivity, we'll email you before archiving
- Deleted Accounts: Personal data deleted within 30 days of account deletion request
- Anonymized Insights: Cannot be re-linked to you after PII removal, may persist to improve platform (this is how the community insights works)
- Backups: Retained for disaster recovery up to 90 days, then purged
Third-Party Services
We use carefully selected service providers who process data on our behalf:
- Google Cloud Platform: Infrastructure and database hosting
- AI Providers: OpenAI, Anthropic (Claude) for natural language processing with PII redaction
- Payment Processing: Stripe for subscription billing (we never see full card numbers)
- Email Service: Transactional emails and notifications
All third parties are bound by strict data processing agreements and cannot use your data for their own purposes.
Your Rights
You have comprehensive control over your data:
- Access: Download all your data anytime from Settings → Export Data
- Correction: Edit any career information directly in the platform
- Deletion: Delete your account and all personal data via Settings → Delete Account
- Portability: Export your data in JSON format for use elsewhere
- Opt-out: Unsubscribe from marketing emails (service emails still required for account management)
- Object: Contact us to object to specific data processing activities
These rights comply with GDPR, CCPA, and other major privacy regulations.
Cookies & Tracking
We use minimal tracking:
- Essential Cookies: Required for authentication and security
- Analytics: Aggregate usage statistics (no cross-site tracking)
- No Advertising Cookies: We don't use ad networks or sell to data brokers
Children's Privacy
Knoemi is not intended for users under 16. We do not knowingly collect data from children. If we discover underage account usage, we will delete the account and associated data.
Changes to This Policy
We may update this policy as the platform evolves. Material changes will be announced via email at least 30 days before taking effect. Continued use after changes constitutes acceptance.
